What I did today: send ~300 rent reminder emails. Also other miscellaneous file processing/emailing, answered phone calls, and received/distributed All The Packages.

The rent reminder emails are annoying because they're mostly a form letter, but each has to be individually tweaked to use the correct tenant's name, address, and rent amounts. Mom Boss does that part in a giant Word document, transferring the relevant data from FileMaker. Then she turns the file over to me so I can copypaste each letter into Gmail, append signatures and subject lines, and send.

There is doubtless a way to automate the process more, but at the moment this is what we have and it is tedious beyond belief. (I suspect automating the process would also involve getting different software, which, good luck sweet-talking that through management. *sigh*)

I'm pretty sure MS Word + MS Outlook has the capacity for this thing? Not sure how to do it, but...and if you have Word then you probably already have Outlook?

Unfortunately, management does not believe in Outlook so we don't have any extant company email accounts with that service. :/

*squints at* It seems like it should work? But that's a lot of setup, and I'm not sure whether it would end up falling on me and Miss Cactus or on Mom Boss. Also it looks like the free version may only allow 50 emails a day?

But definitely worth looking into! I may try playing around with that in my own Gmail account and see how user-friendly it is in practice.

If you can convince her to use that Google account to let you upload all the Word files as Google Docs, then Chrome browser has a plug-in for one-click "google doc to gmail message". It's still a manual step, but less of one.

Hmm. The Word document is a single giant file on our office's shared drive -- each email is one or two pages, depending on which rent payment we're dealing with -- so I'm not sure if Gmail would be able to parse separate emails out of a single Gdoc. And I think saving several hundred separate Word files and/or Gdocs would complicate Mom Boss's work flow more than one-click emailing would simplify mine. :(
